What does Kivio’s AI consulting service include?

A process assessment and practical training to decide what to improve, automate or support with AI. We start with your team’s actual work and your operational requirements.

Who it is for
Operations, finance, sales and IT teams dealing with repetitive tasks, scattered information or processes without clear follow-up.
Deliverables
A process and dependency map, ranked opportunities, an executive report, a roadmap and workshop materials.
Working format
Remote or hybrid work depending on scope, team availability and the logistics agreed in the proposal.
Scope and investment
The initial 30-minute conversation is free. Assessment and training are paid services; implementation is quoted separately.

Does this happen in your company too?

Opportunities often emerge from everyday work. We start with your team’s experience and what your operation needs to protect.

Requests without clear follow-up

Requests arrive by email or chat, making it hard to see who owns them and which ones are still pending.

Scattered documentation

Manuals, procedures and document versions live in different places, so finding an answer takes time.

Duplicate information

The same data is entered again in different applications and tracking files.

AI without a starting point

There is interest in new tools, but shared priorities, training and evaluation criteria are missing.

Business process assessment & training

Understand the process. Prepare the team. Make informed decisions.

Assessment and training are a paid first phase with an agreed scope and deliverables. We combine leaders’ perspectives with the experience of the people doing the work.

  1. Interviews with process owners

We discuss goals, constraints and friction with management, IT and the leaders of the departments in scope.

  2. Process review

We map tasks, data, exceptions and integrations. We assess opportunities against available evidence and continuity requirements.

  3. Tailored workshops

Your team practices with exercises relevant to its department and learns to use AI with review criteria and information safeguards.

From a specific task to an opportunity you can evaluate

The assessment helps you decide whether to improve the process, connect systems, automate tasks or introduce AI.

Potential improvement
Prepare a draft from the requirements, approved information and company templates.
Required control
The owner reviews pricing, scope and commitments before sending; data comes from authorized sources.

AI consulting questions

When should we automate a process and when should we use AI?

Automation is often suitable when steps and rules are defined. AI may help when work involves interpreting text, classifying requests or searching documentation. The assessment reviews data, exceptions, impact and oversight before recommending an approach; improving a process or connecting existing systems may be sufficient.

What does my company need to start an AI assessment?

Choose a specific process and identify its owner, the systems it uses and its most frequent difficulties. Volume, time or error data can provide a useful baseline. A description of the context is enough for the first conversation; access to information and systems is agreed within the assessment scope.

Does the free conversation include the assessment?

The 30-minute video call helps us understand your need and prepare a proposal. Assessment and workshops are a paid service with scope and pricing agreed before work begins.

Can we work remotely?

Yes. We can work remotely or in a hybrid format depending on the processes and your team’s availability. If visits are needed, their scope and logistics are included in the proposal.

How does our IT team participate?

IT takes part in reviewing systems, data, access and constraints. Business leaders validate processes and priorities; together we agree on owners and conditions for any later initiative.

How is pricing set and what do workshops include?

The proposal considers departments, participants, depth of analysis and working format. Workshops are tailored to the findings and each department’s work; their number, duration and materials are agreed in the scope.

How do you handle company information?

We agree on information use, permissions and confidentiality before assessment. We work with restricted access and define what data may be used in workshops and tools. A description of the process is enough for the first contact.

Do we have to engage you for implementation afterwards?

You can use the report and roadmap with your own team. If you choose to implement with Kivio, we prepare a separate quote. Improving a process or training the team without introducing AI may also be the better option.

AI & automation

Seven questions before investing in AI

An open guide to discuss with your team. Start with a single process and bring these answers to our first conversation.

  1. What task keeps repeating?

Describe its steps and who performs them. Choose a specific task rather than an entire department.

  2. How much time does it take?

Record frequency, volume and approximate time. This gives you a baseline for evaluating improvements.

  3. What exceptions occur?

Note cases that require human judgment or additional information.

  4. Where is the data?

Identify files, applications and documents, and review their quality and usage permissions.

  5. Who validates the result?

Name the person responsible for approval, corrections and errors before automating.

  6. Which systems are critical?

Clarify what must keep running and which dependencies constrain any change.

  7. How would we measure an improvement?

Choose an indicator: review time, backlog, errors or quality. Define how to compare it with the current state.

You don’t need every answer before we talk. We start with the context you have available.
